Overview
The Patient Experience & Marketing Coordinator (PEMC) loves marketing and sales, and is keen to apply their skills to get people get the high quality healthcare they need. They work collaboratively with patients and staff to continuously improve the patient experience.
The PEMC has strong computer and social media skills and they coordinate marketing initiatives in the clinic and online. They are great with people, highly organized, and adaptable to change.
Duties and Responsibilities
Patient Experience & Marketing:
- Collaborating with other staff to improve the patient experience from beginning to end
- Surveying patients and acting on patient feedback
- Coordinating clinic communication with other health professionals
- Designing online and print material aligned with clinic brand
- Updating the website, social media, Google Business Listing, and online booking tool
- Generating photos and videos in collaboration with colleagues
Reception Duties:
- Greeting patients and other visitors when they arrive
- Speaking to people on the phone - building relationships, matching patients to the right therapist, and setting patients up for success with their treatment
- Handling payments
- Keeping in touch with patients by phone or email
- Keeping reception area clean, sanitized, and welcoming
- Supporting the Clinic Manager with some administrative tasks
- Training other staff on reception skills
The PEMC will provide Physiotherapy Assistant services on occasion, as a ‘back-up’ to other team members. This may include: assisting physiotherapists with patient care (such as by applying heat and ice); keeping treatment rooms clean & sanitized; and doing laundry.
Training, Knowledge and Experience
Training, knowledge and/or experience in at least two (2) of the following areas is required:
- Marketing & Sales
- Customer service
- Software: AI tools, Microsoft 365, Google Workspace, Canva, Social media (various sites).
Strong conversational and written English is also required.
We will provide substantial additional training for the right candidate.
Skills & Abilities
- Organizational skills, with a strong ability to multi-task. This means frequently switching from one task to another, in response on physiotherapist and client needs, while maintaining accuracy. It also requires the ability to prioritize and get highest priority tasks done first.
- Computer savviness. This role requires the ability to quickly learn new software (such as our clinic management software, Jane App, and our website software). It also requires the ability to use the internet and AI tools to solve problems, and basic proficiency with Microsoft Office 365 (Word and Excel) and Canva.
- Attention to detail. This role manages confidential patient and financial information, so precision is required.
- People skills. We work with people, all day every day. This role requires the ability to empathize with people, make patients feel welcome and comfortable, build trust with colleagues, and sometimes have difficult conversations. It also requires an ability to communicate clearly – verbally and in writing.
- An aptitude for problem solving. Our patients, staff, systems and processes are always changing – we need someone who can adapt easily and help us solve new problems as they come up.
- Adequate physical fitness. Depending on the day, this role could require you to be on your feet for 8 hours supporting physiotherapists, or sitting at a desk.
Availability
This is a full-time job, requiring availability in the daytime and evenings on weekdays. Morning shifts start as early as 7:15 am and evening shifts end as late as 9:15 pm.
Saturday availability (8:15 am – 4:45 pm) would be an asset.
Compensation
$16.00-$24.00 per hour, depending on experience and skill set. Also includes option to participate in a subsidized comprehensive health benefits program.
